PRIVACY & CANCELLATION POLICY

We want every part of your experience with Gambhir M.D. to be clear and fair, including what happens before and after your visit. Below are two policies: how we protect your privacy, and how we handle appointment changes. If you have a question about either one, just ask. We are always glad to explain.


Privacy Policy

Your privacy matters to us. This policy explains how we handle the information you share with us through our website, and when you give us your phone number for text messages.

We ask for personal information only when we truly need it to help you. When we do, we collect it fairly and lawfully, with your knowledge and consent. While we have it, we protect it with reasonable, accepted safeguards against loss, theft, and any unauthorized access, sharing, copying, use, or change.

We do not sell your information. We do not share your name, phone number, email, or anything about your care for anyone else’s marketing. We do share what is needed with the companies that help us run the practice, such as our scheduling and messaging systems, and only so they can do that work for us. We also share information when the law requires it.

Our website may link to other websites we do not run. We cannot control how those sites handle your information, so we are not responsible for their privacy practices. We suggest you read their policies before sharing anything.

Our forms use a Google service called reCAPTCHA. It tells the difference between a real person and an automated program. It works quietly in the background, so you will not see a puzzle or a checkbox to click. To do its job, it collects some technical information about your browser and how you use this page, and sends it to Google. Google handles that information under its own privacy policy and terms of service.

We added this because automated programs were sending false messages through our contact form. It keeps your note from being lost among them.

You are always free to say no to a request for your information. If you do, we may not be able to provide certain services.

How Our Website Uses Cookies and Tracking

Like most websites, ours uses cookies. A cookie is a small file your browser saves so a website can remember your visit.

We use Google Analytics to count visits to our pages and understand how people use our website. On some of our general pages, such as our home, about, and contact pages, we may also use a tool from Meta (Facebook and Instagram). It tells Meta that someone visited our website, so we can show our ads to people who may be interested and measure whether our ads are working. Google and Meta handle this information under their own privacy policies.

We do not use Meta’s tool on our treatment, concern, or pricing pages. We do not send Google or Meta your name, your phone number, or anything about a treatment you are considering.

You can say no to this. Most browsers let you block or clear cookies. You can also change your ad settings in your Facebook, Instagram, and Google accounts.

Forms on Facebook and Instagram

Some of our ads include a short form you can fill out without leaving Facebook or Instagram. When you do, the information you enter comes to us so we can reply. We use it only to answer your request and to help you schedule a consultation.

Text Messages

If you give us your mobile number and agree to receive texts about your inquiry and appointments, we may send you replies to your questions, help with scheduling, appointment reminders and confirmations, and instructions for before and after your treatment. If you separately agree to receive news and offers, we may also send occasional practice news and special offers. Agreeing to texts is never a condition of your care. Our Terms & Conditions include the full details of our text message program.

Message frequency varies. Message and data rates may apply.

You can stop at any time. Reply STOP to any message and we will not text you again. Reply HELP for help, or call us at 212.209.5054.

We do not sell your information. Your mobile number and your consent to receive text messages are never shared with anyone else for their own marketing, and are not shared with third parties for any purpose unrelated to sending you these messages.

Emails From Us

If you join our email list, we will send you occasional news from the practice. Every email has a link to unsubscribe, and you can leave the list at any time.

Our Website Assistant

Bo, the assistant on our website, is an automated program, not a person. Please do not type personal health details into it. For questions about your own care, call us at 212.209.5054.

Cancellation Policy

We want to give every patient our full care and attention, and keeping our schedule on time helps us do that. We also know that life happens and plans change. Here is what we ask of you.

Giving notice. If you need to cancel or move your appointment, please tell us at least 48 hours ahead. You can call us, leave a voicemail, or email hello@gambhirmd.com. We go by the time your message reaches us, not the time we open it, so notice given while we are closed still counts. A cancellation with less than 48 hours’ notice is a late cancellation, and a $100 fee will be charged to the credit card on file.

Missed appointments. If you do not come to a scheduled appointment and did not let us know ahead of time, a $100 no-show fee will be charged to the credit card on file.

Card on file. We ask for a valid credit card when you book. We use it to pay for your treatment at your request, and to process a late cancellation or no-show fee if one applies.

Appointments paid in full at booking. Some of our longer treatments are paid in full when you book, and nothing is due on the day. We will tell you when you book whether your appointment is one of these. If you cancel one of them at least 48 hours ahead, you choose whether we refund the full amount to your card or hold it as credit on your account for twelve months. If you cancel with less than 48 hours’ notice, or do not come to the appointment, the amount you paid is not refunded and is not held as credit. The $100 fee does not also apply.

We understand that unexpected things come up, and we are grateful for your help in keeping our schedule fair for everyone. If something happens, just get in touch. We would always rather hear from you.
